Data Protection:
In Highfield we collect the following information when you join:
Your first name and surname, your mobile number, your e-mail address, and now, under the new Squash Ireland Affiliation system, we also collect gender (Female, Male, Non-binary and Transgender) and date of birth.
Squash Ireland says that they need all of this data (except for the mobile number that we do not pass on) so that as the National Governing Body for our sport they have a better understanding of membership to better develop the sport and to meet Sport Ireland and Sport Northern Ireland requirements.
We become aware of a probable postal address when you use PayPal to pay your sub or when you buy lights tokens but we do not store this address or use it for communication. We send an e-mail when we confirm your membership, when we top up your lights tokens or booking credits and where we send reminders about club activities. We send 'official' notices to your mobile number via WhatsApp (see more below).
When we upload your information on to the Squash Ireland System we pass on your name, e-mail address, gender, age category (senior or junior) and your playing category (competitive or social). Where you have not provided a date of birth a random one is supplied in order to complete the upload. You can correct any errors in your data by editing your personal profile in the JustGo CRM system.
As a matter of routine the treasurer, the booking secretary and the club captains would have a membership list comprising name, mobile number and e-mail address. The data controller and data processor would usually be the treasurer and the booking secretary. In the case of juniors (players U19) we routinely send communications to their parents / guardians only except for players who are 18 years when we communicate direct with the member if they so wish. When you log on to the court booking page you can find the mobile phone numbers of the players in the club. This is to facilitate members making contact with each other. Should you prefer to be excluded from this please let us know. Your mobile number will always appear with your name in the club boxes and that is a condition of playing in the boxes so that matches can be arranged between the participants.
To avoid the possibility of being clamped when parked in Highfield members upload their car registration number on that club bookings page. This exemption does not apply to the Apcoa designated area located between the all-weather five-a-side pitches and the houses on Woodleigh Park.
As part of the usual e-mail protocol we send mailing lists using bcc so that your e-mail address won't appear on any bulk e-mail sent by the club.

Other than as described above we never pass on your information to anyone else for any purpose.
